What does workflow automation actually replace?
It replaces the manual steps between your tools: copying a new lead from a form into the CRM, chasing an invoice through three inboxes for approval, assembling the same weekly report from four dashboards, re-keying order data from one system into another. Individually each step takes minutes; across a team and a year they add up to entire salaries spent on work software should do.
The pattern we look for is any task that is triggered by an event (a form submission, an email, a new row, a schedule) and follows rules a person could write down. n8n, Make, or custom code — which do we use?
We pick per workflow, not per ideology. n8n is our default for business automation: it is source-available, self-hostable so your data stays on your infrastructure, and it handles complex branching and custom code steps without fighting the tool. Make is a fit when the workflow is simpler and the team wants to see and tweak it visually. Custom pipelines (TypeScript/Node) take over when a workflow needs throughput, exotic integrations, or logic that visual tools make harder, not easier.
Whatever the platform, the workflow is built on your accounts and your keys. You are never locked into us to keep it running — handover includes documentation of every node, credential, and failure path.
How long does an automation project take?
The entry point is a one-week Systems & Automation Audit: we review your tools, handoffs, and manual steps, and you get a ranked list of what to automate, what each item saves, and what it would cost to build. The report is yours to keep whether you build with us or not.
Building is done in two-week, fixed-scope sprints — one high-volume workflow per sprint, shipped live with monitoring and error alerting, not handed over as a prototype. Most teams start with the workflow that burns the most hours, see it run for a couple of weeks, then queue the next one.
What happens when a workflow breaks?
It tells you — that's a build requirement, not an add-on. Every workflow we ship includes error handling, retry logic where the failure is transient, and alerting to a channel your team actually reads (email, Slack, or WhatsApp). A silent failure in an invoice pipeline is worse than no pipeline at all, so "it runs" is never our definition of done; "it runs, and you'd know within minutes if it didn't" is.
APIs change, credentials expire, and third-party tools have outages. The monitoring layer exists precisely because automation that no one watches decays. We document the failure modes of each workflow at handover so your team knows what an alert means and what to do about it.
Can AI agents be part of an automated workflow?
Yes — where a decision used to require a person to read something and judge, an LLM step can often take that role. We build AI agents as a scoped MVP: one agent, one decision, running on Claude or GPT behind your own API keys, with every action logged and reversible. Typical fits are support-ticket triage, document classification, and ops escalation — cases where the input is messy text and the output is a routing decision.
We deliberately don't sell "an AI chatbot for your website". An agent inside a workflow has a narrow job, measurable accuracy, and a human-visible audit trail — that's the version of AI automation that survives contact with production.

How much does workflow automation cost?
Every engagement is fixed-price and scoped before work starts, so there are no open-ended hourly surprises. The one-week audit is a flat-fee engagement; build sprints are priced per workflow based on the systems involved and the complexity of the logic. Which tools and apps can you integrate?
Anything with an API, webhooks, or an export — CRMs (HubSpot, Pipedrive), sheets and databases (Google Sheets, Airtable, Postgres, MongoDB), email and messaging (Gmail, Outlook, Slack, WhatsApp), forms, payment providers, and internal tools. Where no API exists, we can often bridge with scraping or file-based handoffs.
We already have Zapier automations. Can you work with those?
Yes. We can extend what works, and migrate what has outgrown Zapier — usually workflows that hit task limits, need branching logic, or have become too expensive per run. A migration to self-hosted n8n typically cuts per-run cost to near zero at volume.
Who owns the workflows after the project?
You do. Everything is built on your accounts and your API keys, documented, and handed over. If we ever part ways, your automations keep running without us.
Do you offer ongoing maintenance?
Yes — an optional monthly retainer covers monitoring, fixes when a connected API changes, and small improvements. It's optional because the handover documentation is written so a technical person on your team could maintain the system instead.
Do you work with remote and international clients?
Yes. We work remotely by default, communicate async-first over email and WhatsApp, and scope every engagement in writing so time zones never block progress.
